Structuring diverse, high-value portfolios into a system tax professionals could actually navigate.
Family offices manage complex portfolios of assets for high-net-worth families — trusts, real estate properties, liquid investments, physical assets such as art and jewelry. Tax professionals and administrators need to track, categorize, and report on these assets while maintaining proper documentation and legal records.
Problem
The existing system for managing family office assets was fragmented and difficult to navigate. Users struggled with no clear organizational structure for diverse asset types, difficulty finding specific assets within large portfolios, inconsistent access to associated legal documents and records, limited visibility into portfolio composition and asset relationships, and time-consuming manual processes for generating reports.
Created distinct asset categories that aligned with how tax professionals think about portfolios. Each category had tailored fields and workflows specific to that asset type.
Designed a three-level navigation system (Portfolio → Category → Asset) that allowed users to drill down from high-level overview to detailed asset information while maintaining context.
Positioned document access directly within asset detail views, ensuring users could quickly find associated legal records without switching contexts.
Designed different interface configurations for tax professionals (focused on compliance and reporting) and administrators (focused on data entry and maintenance).
Impact
The redesigned platform successfully structured complex asset portfolios into clear navigable categories. Key outcomes included reduced time to locate specific assets within large portfolios, improved document discovery through integrated access patterns, clearer portfolio overview through category-based organization, more efficient tax preparation workflows, and positive feedback from users on system clarity and organization.
